The situation

Fresh produce moves faster than most software allows for. Orders arrive by phone, by email, through WhatsApp and in person. They change during the day — quantities, substitutions, a line dropped because it did not come in. Buying decisions depend on what has actually been ordered, and what has actually been ordered depends on conversations spread across half a dozen places.

Every individual part of that worked. What did not exist was the join. The people running the business were the join: the only place where the website, the messages, the order sheet and the buying decision came together was in somebody’s head, and usually the same somebody.

That is the expensive part. Not the typing — the fact that nothing could be confidently answered without asking the one person who had the whole picture.

What is being built

The pilot is a single operational platform rather than a set of tools that each solve one step.

Ordering has one front door. Customers order through the site or their account, and phone and message orders land in the same place instead of a parallel paper trail.

Amendments belong to the order. Produce orders change, so the system treats change as normal rather than as an exception to be remembered. A revised order carries its own history: what changed, who asked, when it was agreed.

Messages sit with the order they are about. WhatsApp and email threads are attached to the order rather than living in an individual’s phone. The question “what did we agree with them?” has an answer that does not depend on who is in that day.

Ordering feeds buying. What customers have committed to informs what needs to be bought, in one flow rather than by re-reading the order sheet.

Everyone can see the day. A shared operational view shows what is in, what has changed, and what still needs a decision.

Where it is now

It is an active pilot: in real use, being extended in short cycles with the people who work in it, and still changing week to week.

No performance figures are published here, deliberately. A pilot that is still being shaped is not a results claim, and a number invented to fill this space would tell you nothing. When the work has been running long enough to measure properly — and the client is happy for the figures to be public — they will appear here and be described as measurements rather than promises.

What can be said now is the shape of the change: the answer to “where is that order, what changed, and what do we need to buy” is moving out of individual memory and into something the whole team can see.

Why this one is on the page

Because it is the clearest example of the work I am most interested in. Not a website, not a dashboard, but the joined-up layer underneath both — the thing that lets an owner have confidence in what is being done, planned and delivered without needing to be involved in every detail of it.
